Reminders that send themselves
The core of Certly: every document with an expiry date gets an automatic email at 90, 60 and 30 days out, and again on the day itself. No rota, no recurring calendar entry, no "who was watching this again?"
- Escalation at 14 and 7 days — Still nothing sorted two weeks out? Certly escalates — including to the owner, so nothing dies quietly in one person's inbox.
- Weekly summary on Monday morning — One email with everything coming up in the next 90 days, sorted by urgency. Read it with your first coffee and you know your week.

The renewal chase is the part that eats your time. Certly moves it to the person who actually holds the certificate.
- Renewal link, no login — The worker gets their own reminder with a link. They photograph the new card on their phone, send it in, and you click approve. No account, no password, no excuses.
- In the worker's own language — Reminders and the renewal page work in English, Polish, Romanian and Dutch — because a reminder that isn't understood is a reminder that didn't happen.
- Subcontractor portal (add-on) — Every subcontractor keeps their own people's certificates current in their own portal, with a compliance score you can see at a glance.

- Driver CPC hours counter — 35 hours of periodic training per five years: Certly counts each driver's recorded hours, so you spread courses over the years instead of cramming them before the deadline.
- Inspections on fixed intervals — LOLER every 6 or 12 months, tachograph calibration every 2 years: set the interval once and the next due date rolls forward automatically after every inspection.
- Tachograph downloads on day intervals — Driver card and vehicle unit downloads tracked on their legal day intervals — with the same reminders as everything else.

Who's cleared for the gate tomorrow?
Tracking documents is half the job. The other half is the planner's question: can I put this person, this vehicle, this machine on this job tomorrow?
- Requirements per client and job — Record what each client checks at the gate — blocking or as a warning — and Certly tests every worker and machine against it, valid through the job's end date.
